In any company, big or small, a HR is the most immediately reached person for any kind of facilitation needs, from a basic marker to a setting up of a conference hall. To be a perfect facilitator of all the needs, a HR must be able to plan things well ahead of the actual need to fall in place. He/she must think smart and act instant.
When there is a meeting to happen, it will be scheduled at least a couple of days ahead. Of course, there are cases where instant and emergency meetings occur, but they are completely exceptional. So, when there is a meeting scheduled, a HR officer should clearly go through the agenda of the meeting, including the subject matter of the debate. Point down all the facilities that you expect to be used in the particular meeting, whether or not you are sure that is required. Make sure to take down important points for discussion and always look at the issue with respect the future of the organization. Every single move that a HR makes should be in the positive line and growth of the company.

Always have an open-mind when stepping towards a meeting hall. It is not advisable to think that you are the only person who thinks in favour of the company s growth and structure. Even an entry level staff can throw out a wonderful option to solve a problem or issue you are addressing in the meeting. So, always be ready to listen to others opinion and give a thought to it. If you think it is really a better solution, be ready to instantly acknowledge the idea and the proposer. Soon after the meeting, roll out an appraisal mail to all the staff members, appreciating the brilliant idea of the particular staff. This simple main can be a great motivation for the person and will make him double his efforts towards your goal. A HR must always be open to criticisms, ideas and solutions of all the staff members and should make them all think and work towards the company s goal. Do not demoralize anybody s opinion or suggestion. If any invalid or unqualified suggestion is thrown, neglect it in a subtle way.
Meeting facilitation should primarily adhere to the basic meeting rules of only one person to speak at a time. Ensure silence and full attention of all the staffs in the meeting hall. A HR must not be so bossy over other employees, nor should you be least in prominence. Maintain the power of your designation in an easy and friendly manner.
